The coaching institute sector in India reached a market value of USD 7.2 billion in 2025. Industry projections indicate that this figure will continue to expand at a compound annual growth rate of 10.29%, reaching USD 17.8 billion by 2034. This growth presents a logistical challenge for institutions, as many lose potential customers when staff fail to answer phones promptly during high-volume periods.

Inquiries typically arrive through advertisements or direct phone calls, often at 9 PM or during counseling rushes. Human counselors are frequently occupied with in-person admissions or demo classes, leaving incoming calls on hold. By the time a staff member returns the call, the prospective student has often contacted two competitors. This delay allows institutions to lose market share without ever making a first sale.

To address this gap, firms are deploying artificial intelligence voice agents to manage communication. Olivia AI, developed by Pete & Gabi, is designed to receive and place calls autonomously around the clock. The system qualifies leads by gathering basic information and transferring detailed data to human teams. It functions as a receptionist, admissions assistant, and follow-up caller simultaneously.

The technology handles inbound calls by answering questions about course duration, fees, and batch timings. It records the caller's name, class level, and contact information for advisor follow-up. The agents also schedule demo classes, send reminders, and reschedule appointments if necessary. Outbound functions include following up on inquiries from the previous week, sending fee reminders, and reactivating dormant leads.

Implementation requires institutions to map their inquiry journeys and select a single use case to start, such as inbound answering. Firms must prepare a knowledge base, connect existing tools, and set handoff rules for human staff. Weekly review of call recordings helps refine the system's performance. Language support for Hindi and local dialects is considered essential for building trust with parents.

Common pitfalls include starting with an incomplete knowledge base and failing to disclose that the caller is an AI. Institutions are advised to comply with telecom regulations for outbound calls. One study by Pete & Gabi for a gym chain found that 840 out of 2,100 missed members responded within one month. While results vary in the education sector, the strategy relies on consistent, low-cost activation.

Firms can launch simple AI systems within days if they have program details and fee structures available. Success is measured by tracking call volume, average response time, and the number of qualified leads and booked appointments. The primary goal is to ensure that no inquiry goes unanswered during critical admission windows.
